XtraHand Home Services – Full Terms & Conditions

1. Assessments & Estimates

  • Complimentary Assessments are offered to clients within 30 miles of the XtraHand Home Services home office.

    • Clients located 31–50 miles away are subject to a $50 assessment fee, due at the time of appointment. If services are booked, this fee will be credited on the final invoice.

    • Clients located more than 50 miles away will be quoted a service fee prior to scheduling; the fee is due at the time of assessment.

  • Initial Project Scopes are valid for 30 calendar days from issuance. Changes requested by the client do not reset the 30-day validity period but may trigger a revised scope.

  • Travel Fees will be included for clients beyond 30 miles and will reflect distance, travel time, and overall project timeline.

  • Arrival Windows: Unless otherwise stated, appointments are scheduled in 1–2 hour arrival windows. Clients will be notified as soon as reasonably possible of any delay or schedule change.

2. Cancellations & Rescheduling

  • Assessment appointments may be canceled or rescheduled with no penalty.

  • Service cancellations require at least 5 days’ notice. Cancellations made with less than 5 days’ notice are subject to a fee of 20% of the project’s estimated cost.

    • XtraHand may waive this fee in cases of family emergency or other extenuating circumstances with appropriate documentation.

  • Rescheduling requires a minimum of 2 days’ notice. Less than 2 days’ notice may result in delays of at least one week.

    • Clients may reschedule the same appointment twice without penalty. A 20% rescheduling fee will be charged for a third change.

    • If the client cancels after rescheduling twice, both rescheduling and cancellation fees apply (40% total).

3. Payment Terms

  • Unless otherwise specified, payment is due within 30 days of project completion.

  • Late payments will incur a fee of $5 per day past the 30-day due date.

  • Deposits:

    • Xtra Day Package: $100 deposit required, refundable with 5+ days’ notice.

    • Multi-day jobs: $25 deposit per estimated day, refundable with 5+ days’ notice.

    • Large jobs (50+ hours or $1,500+): 50% deposit due at booking.

4. Project Scope Terms

  • All work will be performed in accordance with a Project Scope Agreement approved and signed by the client prior to service.

  • Any changes must be submitted in writing as an addendum, reviewed and signed by the client.

  • XtraHand will notify clients in writing of any scope reductions. Clients need not sign, but must acknowledge receipt.

  • For larger/multi-day projects, XtraHand may notify clients of unexpected delays or increases and request written acknowledgment.

  • Scope changes initiated by XtraHand will not result in additional cost to the client.

5. Selling Items (Applicable to Home Organization Services)

  • Items intended for sale will be reviewed, priced, and approved by the client.

  • XtraHand will post, manage, and handle all transactions. A 50% commission of final sale price is retained. XtraHand time spent posting and managing items is paid through commission, it is not part of the overall home organization project cost.

  • Sales updates and payments are provided weekly with receipts.

  • Unsold items after 30 days will be reassessed with the client.

  • Clients may adjust item list or pricing at any time.

6. Project Completion & Disputes

  • A final invoice will be provided detailing services, adjustments, and the total cost.

  • Service dissatisfaction must be reported within 24 hours of completion.

    • XtraHand will evaluate the situation and, if appropriate, may offer:

      • Refund

      • Future service credit

      • Complimentary rework (within 48 hours when possible)

  • Any offers made by XtraHand must be accepted within 3 days, or they will be considered void.

7. Urgent & Off-Hour Services

  • Standard T&Cs apply.

  • No additional fees for urgent/off-hours unless discussed.

  • Clients in shared housing must notify XtraHand of noise restrictions. If not, they assume responsibility for fines.

  • XtraHand does not guarantee availability on federal holidays. Services requested for holidays may be scheduled only if availability permits and may be subject to an additional holiday service fee.

8. Damages & Insurance

  • XtraHand maintains business liability insurance (State Farm).

  • XtraHand will assist in submitting claims for any damage caused by our work.

  • We are not liable for damage not directly caused by XtraHand, such as a pet or family member.

9. Pets & Safety

  • Clients must inform XtraHand of all pets and ensure proper containment:

    • Dogs: Must be secured if client is not present

    • Cats: May roam if friendly

    • Other pets: Must be caged or in a separate room

  • XtraHand is not responsible for injury to or by pets not properly secured.

  • Pet care (feeding, walking, grooming, etc.) is not included unless part of Project Scope.

10. Supplies & Equipment

  • Clients are responsible for providing necessary tools/supplies unless otherwise agreed.

  • If XtraHand is providing supplies (as an add-on service), this must be noted in the Project Scope.

  • Clients must prepay for any supplies XtraHand is to purchase on their behalf.

  • XtraHand is not liable for service delays due to unavailable or malfunctioning supplies/equipment.

  • Clients who supply their own tools, equipment, or materials accept responsibility for their condition and safety. XtraHand is not liable for failure or injury caused by client-provided equipment.

11. On-Site Access & Delays

  • Clients must ensure property access at the scheduled time.

  • No access after 30 minutes will be considered a cancellation, subject to a 20% fee.

  • Weather or external delays may result in a reschedule or credit, at XtraHand’s discretion.

  • Yardwork and outdoor services are subject to weather conditions. If conditions are unsafe or unsuitable for service, XtraHand will contact the client to reschedule at the earliest mutually available date.

12. Third-Party Presence & Safety

  • XtraHand is not responsible for the safety of anyone present on-site during service except for XtraHand personnel.

13. Right to Refuse Service & Code of Conduct

  • XtraHand reserves the right to refuse or discontinue service if conditions are deemed unsafe, volatile, or otherwise inappropriate for personnel.

  • Deposits will not be refunded if cancellation results from unsafe conditions or client misconduct.

  • All XtraHand representatives are expected to maintain professionalism, courtesy, and respect at all times—and we expect the same in return.

  • Harassment & Behavior Policy:

    • XtraHand maintains a strict zero-tolerance policy toward harassment, discrimination, or inappropriate conduct by or toward any employee or client.

    • Any hostile, threatening, discriminatory, or otherwise inappropriate behavior by a client or anyone on-site may result in immediate termination of the project and cancellation of future services, with the client responsible for any incurred costs.

    • Any client concerns about XtraHand personnel should be reported directly to the business owner for prompt review and resolution.

    • Employees who experience inappropriate conduct will report it to the business owner immediately for review and documentation.

17. Injury & Liability

  • XtraHand takes every precaution to perform work safely and professionally. However, XtraHand is not liable for any personal injury to the client, residents, guests, or third parties that occurs during or as a result of services performed, unless directly caused by gross negligence or willful misconduct on the part of XtraHand.

  • Clients are responsible for maintaining a safe and hazard-free environment for service to be performed. This includes—but is not limited to—removal of clutter, proper containment of pets, and maintaining clear walking paths.

  • Clients agree that they, and all occupants of the property, will avoid interfering with active work zones during the duration of service.

  • XtraHand personnel are covered under general business liability insurance.
